Welcome to Matei Travel. Please read and agree to these Terms & Conditions carefully before booking any tour, transportation, or travel-related service through our website or directly with our team.
By booking a tour, making a payment, or using our website, you agree to be bound by these Terms & Conditions. If you do not agree, do not book or use our services.
These terms and conditions will be transmitted under separate email transmission for your review and approval the same day as a booking is confirmed.
1. About Us
Matei Travel LLC is a Utah-based tour company offering guided sightseeing experiences, private tours, and small-group travel services in Utah and surrounding destinations.
2. Eligibility
You must be at least 18 years of age to make a booking. By placing a reservation, you confirm that you are authorized to agree to these Terms on behalf of yourself and all members of your party. You are responsible for ensuring that all members of your group are aware of and agree to these Terms.
3. Reservations & Payments
- All reservations are subject to availability.
- Full or partial payment may be required at the time of booking, depending on the tour or service selected.
- Prices are listed in U.S. Dollars (USD) unless otherwise stated.
- A booking is considered confirmed only after payment has been successfully received and a confirmation has been issued by Matei Travel.
- We reserve the right to correct pricing errors, availability errors, or booking mistakes at any time. If a pricing error is discovered after booking, we will notify you and offer the option to proceed at the corrected price or receive a full refund of any amount paid.
4. Changes to Reservations
We understand travel plans can change.
- Reservation changes may be requested up to 24 hours before the scheduled tour departure, unless otherwise stated on the specific product page.
- Changes are subject to availability and are not guaranteed.
- Date and time changes may be allowed, but tour type, route, or service category may not always be changed without additional charges.
- If your requested new date or service has a higher price, you will be responsible for paying the difference. No partial refund will be issued if the new selection has a lower price.
- We reserve the right to limit the number of changes per reservation.
5. Cancellation & Refund Policy
Standard Policy
- Cancellations made more than 24 hours before departure may be eligible for a refund or rescheduling, depending on the tour booked.
- Cancellations made within 24 hours of departure are non-refundable.
- No-shows are non-refundable.
Private Tours
- Private tours may be subject to different cancellation terms listed on the booking page or invoice.
- Deposits for custom or private tours are non-refundable.
Refund Limitations
- In all cases, refunds shall not exceed the amount originally paid by the guest to Matei Travel for the specific booking in question.
- Refunds will be issued using the original payment method and may take up to 14 business days to process.
- Matei Travel is not responsible for refunding fees, commissions, or charges imposed by third-party booking platforms, payment processors, banks, or credit card companies.
- Guests are not entitled to compensation, reimbursement, or damages beyond a refund of the amount paid, including but not limited to: travel expenses, accommodation costs, airfare, lost wages, emotional distress, or any other consequential costs.
Third-Party Bookings
If you booked through a third-party platform, such as Viator, GetYourGuide, Expedia, TripAdvisor, or others, your reservation is also subject to that platform’s cancellation and refund rules. Matei Travel is not responsible for refunds processed by third-party platforms.
6. Late Arrivals & No-Shows
- Guests must be ready at the designated pickup point or meeting location on time.
- We recommend being ready at least 10 minutes before the scheduled pickup time.
- If a guest is late and misses the tour departure, it will be treated as a no-show.
- No refunds, credits, or compensation of any kind are provided for missed departures caused by:
- late arrival,
- failure to answer phone calls or messages,
- being at the wrong pickup location,
- or failure to follow pickup instructions.
If you believe you may be delayed, please contact us as soon as possible. We will make reasonable efforts to assist, but we cannot guarantee accommodation.
7. Weather, Natural Conditions & Itinerary Flexibility
Our tours take place in natural outdoor environments. Conditions may vary and are beyond our control.
Matei Travel reserves the right to modify the itinerary, change stop durations, adjust pickup or return timing, reroute, substitute equivalent destinations, or cancel a tour due to:
- weather, including but not limited to rain, snow, wind, dust, extreme heat, or cold,
- road conditions or closures,
- safety concerns,
- traffic,
- wildfire, flooding, or other natural events,
- government orders, park closures, or access restrictions,
- operational needs,
- or any other event beyond our reasonable control.
No refund or compensation will be issued for minor itinerary changes, reduced scenic visibility, weather-related discomfort, wildlife visibility, traffic delays, or conditions that do not prevent the tour from operating safely. If Matei Travel cancels a tour entirely due to conditions listed above, guests will be offered rescheduling or a refund of the amount paid. No additional compensation will be provided.
8. Force Majeure
Matei Travel shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to: natural disasters, severe weather, pandemics, epidemics, government actions or restrictions, civil unrest, acts of terrorism, labor disputes, utility failures, road closures, park closures, or any other force majeure event.
In such cases, guests will be offered rescheduling or a refund limited to the amount paid. No additional compensation, damages, or reimbursement of any kind will be provided.
9. Pickup & Drop-Off Policy
- Pickup and drop-off locations may be limited to selected hotels, meeting points, or agreed private addresses within the Salt Lake City metropolitan area and surrounding service areas.
- Guests are responsible for entering the correct pickup details at the time of booking.
- Exact pickup time may vary depending on route logistics and group size.
- Guests must follow all pickup instructions sent by email, text, or direct message.
We are not responsible if a guest misses a tour because they were waiting at the wrong location or failed to follow pickup instructions.
10. Passenger Conduct
For the comfort and safety of all guests, passengers must behave respectfully toward guides, drivers, other guests, wildlife, and public lands.
Matei Travel reserves the right to refuse service or remove any guest without refund if, in our sole judgment, the guest:
- appears intoxicated or under the influence of drugs,
- behaves aggressively, abusively, or disruptively,
- threatens the safety of others,
- damages property, including the vehicle,
- distracts the driver,
- harasses other guests or staff,
- violates park, site, or venue rules,
- or engages in illegal conduct.
Guests removed for conduct reasons are not entitled to any refund, credit, compensation, or alternative service. If law enforcement, park authorities, or venue staff become involved, all related consequences and costs are the sole responsibility of the guest.
11. Health, Physical Ability & Participation
By booking a tour, you confirm that you and all members of your party are physically able to participate in the booked activity and that you have reviewed the tour description to determine suitability.
Some tours may include:
- walking on uneven terrain,
- stairs, dirt paths, rocky or sandy surfaces,
- extended periods of standing or sitting in a vehicle,
- and exposure to heat, wind, sun, cold, altitude, insects, or other outdoor conditions.
Please notify us in advance if you or any member of your party has:
- mobility limitations,
- medical conditions that may affect participation,
- pregnancy-related concerns,
- or accessibility needs.
We will make reasonable efforts to accommodate, but not all locations or vehicles are fully accessible. Matei Travel is not liable for any health-related incidents arising from a guest’s pre-existing conditions, failure to disclose medical information, or decision to participate in an activity that exceeds their physical capabilities.
12. Travel Insurance
Matei Travel strongly recommends that all guests purchase comprehensive travel insurance covering trip cancellation, medical emergencies, personal belongings, and travel delays. Matei Travel does not provide travel insurance and is not responsible for any losses that would have been covered by travel insurance.
13. Luggage, Personal Belongings & Equipment
For tours that include transportation, guests may bring a reasonable amount of personal belongings suitable for the booked experience.
- Standard day tours generally allow small personal items such as backpacks, handbags, cameras, and jackets.
- Larger luggage or suitcases must be approved in advance.
- Space is limited and cannot be guaranteed for oversized items unless pre-approved.
Matei Travel is not responsible for lost, stolen, damaged, or forgotten personal belongings, including but not limited to luggage, electronics, cameras, phones, passports, wallets, jewelry, medications, or items left in vehicles or at tour stops. Guests are solely responsible for safeguarding their property at all times.
14. Pet Policy
At this time, pets are not permitted on Matei Travel tours unless explicitly approved in advance in writing.
We welcome service animals accompanying guests with disabilities, in accordance with the Americans with Disabilities Act (ADA). Guests traveling with a service animal must notify us in advance whenever possible so we can plan accordingly.
Emotional support animals are not classified as service animals under the ADA and are not automatically permitted.
15. Children & Minors
- Children must be accompanied by a responsible adult at all times during the tour.
- Parents or guardians are fully responsible for the supervision, behavior, and safety of minors at all times.
- Child safety seats or booster seats may be required depending on the child’s age, height, weight, and applicable Utah law.
- Guests are responsible for informing us in advance if a child seat is needed and for providing an appropriate child restraint if one is required.
16. Wildlife, Nature & Outdoor Safety
Many Matei Travel experiences take place in natural environments where wildlife may be present.
Guests must:
- follow all guide instructions,
- stay at safe distances from wildlife,
- not feed, approach, or provoke animals,
- not leave designated areas when instructed to stay,
- and act responsibly in protected natural areas.
Matei Travel is not responsible for risks inherent to outdoor travel, including but not limited to wildlife encounters, insect bites or stings, sun exposure, sunburn, dehydration, heat stroke, slipping, tripping, falls, terrain hazards, altitude effects, or sudden weather changes.
Participation in outdoor activities is at your own risk.
17. Photography & Marketing
During tours, our guides or team may take photos or videos for promotional or social media use.
By participating in a tour, you grant Matei Travel LLC a non-exclusive, royalty-free, perpetual, worldwide license to use photographs or video in which you may appear for website content, social media, advertising, and promotional purposes, unless you specifically notify us in writing before the tour that you do not wish to be photographed.
If you send us photos, reviews, or testimonials, you grant us permission to repost, edit, or display them unless you state otherwise in writing.
18. Website Use
By using mateitravel.com, you agree not to:
- misuse the website,
- attempt unauthorized access,
- copy or republish website content without written permission,
- interfere with booking functionality,
- or use the site for unlawful or fraudulent purposes.
All website content, including text, branding, tour descriptions, logos, photos, and design elements, is the property of Matei Travel LLC unless otherwise stated and is protected by applicable intellectual property laws.
19. Third-Party Services
Some tours or travel-related services may include or rely on third-party providers, including but not limited to parks, attractions, hotels, restaurants, transportation providers, ticketing platforms, or local partners.
Matei Travel acts solely as an organizer and guide. We are not responsible for the acts, omissions, errors, closures, delays, cancellations, injuries, or policies of any third-party provider. Any claims arising from third-party services must be directed to the third-party provider.
20. Limitation of Liability
To the fullest extent permitted by applicable law, Matei Travel LLC, its owners, members, employees, contractors, guides, agents, and affiliates shall not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages arising out of or related to:
- participation in a tour or travel experience,
- transportation delays or vehicle issues,
- missed flights, connections, appointments, or reservations,
- weather, natural conditions, or environmental factors,
- guest negligence or failure to follow instructions,
- third-party failures or acts,
- lost, stolen, or damaged property,
- personal injury resulting from inherent risks of outdoor travel,
- or inability to participate due to personal conditions, late arrival, or failure to meet tour requirements.
In no event shall Matei Travel’s total aggregate liability for any claim or series of claims arising from a single booking exceed the total amount paid by the guest directly to Matei Travel for that specific booking. This limitation applies regardless of the legal theory under which liability is asserted, whether in contract, tort, negligence, strict liability, or otherwise.
Guests expressly waive any right to claim or recover damages exceeding the amount paid for the booking, including but not limited to: lost wages, travel expenses, accommodation costs, airfare or transportation costs, medical expenses, except as required by law, emotional distress, loss of enjoyment, punitive damages, or any other consequential or special damages.
21. Assumption of Risk & Release of Claims
By participating in any Matei Travel experience, you acknowledge and agree that:
- Travel and outdoor recreation involve inherent risks that cannot be eliminated, including risks related to transportation, weather, terrain, wildlife, physical activity, remote locations, and conditions beyond anyone’s control.
- You voluntarily assume all risks associated with participation, both known and unknown, foreseeable and unforeseeable.
- You release, waive, and discharge Matei Travel LLC, its owners, members, employees, contractors, guides, agents, and affiliates from any and all claims, demands, actions, or causes of action arising out of or related to your participation, except in cases of gross negligence or willful misconduct by Matei Travel.
- This release is binding on you, your heirs, executors, administrators, and assigns.
22. Indemnification
You agree to indemnify, defend, and hold harmless Matei Travel LLC, its owners, members, employees, contractors, guides, agents, and affiliates from and against any and all claims, liabilities, damages, losses, costs, and expenses, including reasonable attorney’s fees, arising out of or related to:
- your violation of these Terms & Conditions,
- your negligent or wrongful conduct during a tour,
- your failure to follow safety instructions or guide directions,
- damage you cause to Matei Travel property, vehicles, or equipment,
- damage you cause to third-party property,
- any claim brought by a member of your party,
- or any dispute between you and a third-party provider.
23. Dispute Resolution
In the event of any dispute arising out of or related to these Terms, your booking, or your participation in a Matei Travel experience:
- The parties shall first attempt to resolve the dispute informally by contacting Matei Travel in writing at [email protected]. You agree to allow at least 30 days for informal resolution before initiating any formal proceeding.
- If informal resolution is unsuccessful, either party may pursue binding arbitration administered under the rules of the American Arbitration Association (AAA) in Salt Lake City, Utah. The arbitration shall be conducted by a single arbitrator, and the arbitrator’s decision shall be final and binding.
- You agree that any dispute resolution proceeding will be conducted only on an individual basis and not as part of a class, consolidated, or representative action. You waive any right to participate in a class action lawsuit or class-wide arbitration against Matei Travel.
- The prevailing party in any arbitration or legal proceeding shall be entitled to recover reasonable attorney’s fees and costs from the non-prevailing party.
24. Governing Law
These Terms & Conditions shall be governed by and interpreted under the laws of the State of Utah, United States, without regard to conflict of law principles. Any legal proceedings not subject to arbitration shall be brought exclusively in the state or federal courts located in Salt Lake County, Utah, and you consent to the personal jurisdiction of such courts.
25. Severability
If any provision of these Terms & Conditions is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it valid and enforceable while preserving its original intent.
26. Entire Agreement
These Terms & Conditions, together with any booking confirmation, invoice, or supplemental terms provided at the time of booking, constitute the entire agreement between you and Matei Travel LLC regarding the subject matter herein. They supersede all prior or contemporaneous oral or written communications, proposals, and representations.
27. Changes to These Terms
Matei Travel reserves the right to update or revise these Terms & Conditions at any time. The most current version will always be posted on mateitravel.com with the effective date noted at the top. Changes apply to bookings made after the effective date of the updated Terms. Continued use of our website or services after changes are posted constitutes acceptance of the updated Terms.
